Invoice without a Business ID - how it works

Want to invoice customers but do not have your own company? You can - and it is completely legal. In this guide we explain how invoicing without a Business ID works, what it costs, and when it makes sense.

Basics

What does invoicing without a Business ID mean?

Invoicing without a Business ID means using an invoicing service between you and your customer. The service acts as the invoicer on your behalf: it invoices your customer, withholds taxes and statutory payments automatically, and pays the net amount directly to your bank account.
You do the work. The service handles the paperwork.
See also Symple's invoicing service if you want to see how sending an invoice works in the service.

In practice, this means you do not need to start a company or get a Business ID, calculate or pay taxes yourself, file separate tax returns, or worry about VAT registration.

Fit

Who is invoicing without a Business ID suitable for?

An invoicing service is especially suitable for freelancers, students, experts, craftspeople, artists and people doing side gigs.

Freelancers

Graphic designers, translators, photographers and social media specialists.

Students

Side gigs alongside studies without bureaucracy.

Experts

Consultants, trainers and IT professionals.

Makers

Craftspeople, artists and people doing individual projects.

If you do individual assignments and do not want to start a company, an invoicing service is the clearest solution.

Process

How does invoicing without a Business ID work in practice?

1

Register with the invoicing service

Registration is free and does not bind you to anything. You get access to the invoicing system immediately and the whole process takes only a few minutes.

2

Agree on the work with your customer

Agree on the work content, schedule and price with your customer as usual. The invoicing service does not interfere with this - it is between you and your customer.

3

Send the invoice through the service

Create the invoice in the invoicing service. You can send an electronic invoice, OVT invoice or paper invoice.

4

The customer pays the invoice

Your customer pays the invoice normally to the invoicing service's account.

5

You receive your payout

When the payment arrives, the service automatically withholds tax and the service fee, and pays the rest to you usually within 1-3 business days.

Example

Concrete example: what ends up in your account?

Scenario: Maija is a graphic designer. She agreed on a logo design project with a customer for 2,000 euros.
ItemAmount
Invoice amount, incl. VAT 25.5%2 000 €
VAT paid to the state-406 €
Amount excluding VAT1 594 €
Service fee 4.9%-78 €
Withholding tax, e.g. 25%-379 €
To Maija's account~1 137 €

The figures are indicative. The final amount depends on your own tax percentage, which you can find on your tax card.

Fees

What fees does the invoicing service withhold?

Withholding tax

Tax is withheld directly according to your tax card. You do not need to pay taxes separately or worry about back taxes.

VAT

When VAT is added to the invoice, the service processes it and pays it onward.

Service fee

A small percentage of the invoice amount for using the service. The fee is deducted automatically before payout.

YEL

What about YEL insurance?

YEL, the entrepreneur's pension insurance, is the light entrepreneur's own responsibility. If you work regularly and your annual income exceeds the YEL threshold, you must take out YEL insurance yourself.
The invoicing service does not automatically cover YEL - unlike employment, where pension payments are handled through the employer. This is an important difference to understand before you start.
Occasional side gigs below the threshold: YEL may not apply to you.
Regular activity above the threshold: take out YEL insurance.

Comparison

Invoicing without a Business ID vs. sole proprietorship - which is better?

Invoicing serviceSole proprietorship
SetupFree, ready immediatelyFree, but takes time
BureaucracyNo separate administrationBookkeeping, tax returns
Best forOccasional gigsRegular entrepreneurship
TaxationAutomaticHandled by yourself
YELYour responsibilityYour responsibility
CostService fee per invoiceBookkeeping + expenses
As a rule of thumb, if you invoice less than 15,000 € per year or do occasional gigs, an invoicing service is usually the easier option. If the work becomes regular and income grows, a sole proprietorship or limited company may be the next step.

International

Can you invoice foreign customers without a Business ID?

Yes. Through an invoicing service you can invoice customers elsewhere in the EU and in most other countries without extra fees or separate arrangements. An international invoice works much like a domestic one - the service helps with the correct invoicing and tax treatment.
