Guide 2026

How does a freelancer invoice?

Starting freelance work and wondering how to get paid correctly and legally? This guide explains the invoicing options, required invoice details, pricing, taxes, and the most common mistakes.

Basics

Freelancer invoicing options

A freelancer can invoice customers in several ways. The right model depends on whether you do occasional gigs, build a full-time business, or are already growing a team.

1. Invoicing service, or light entrepreneurship

The easiest way to start. You do not need to set up a company or get your own Business ID. The service sends the invoice, withholds tax, and pays the net amount to you.

2. Sole proprietorship

Good when you invoice regularly and want broader deduction options. You are responsible for accounting, taxes, and official filings.

3. Limited company

Relevant when revenue grows, you want to limit personal liability, or plan to hire employees. Administration is heavier than with a sole proprietorship.

If you are just starting or freelance alongside other work, an invoicing service is usually the fastest way to send the first invoice to a customer.

Process

How does a freelancer invoice through an invoicing service?

1

Register with an invoicing service

Opening an account usually takes a few minutes. There are no monthly commitments; the service fee is charged when you invoice.

2

Agree the work terms with the customer

Write down at least the scope, schedule, price, payment term, and possible expense reimbursements. Email is often better than only a verbal agreement.

3

Do the agreed work

Keep records of hours, deliverables, and approvals so the invoice matches what was agreed.

4

Send the invoice through the service

Enter the customer details, work description, amount, and payment term. The service creates and sends the invoice.

5

Follow the payment

You can see whether the invoice has been paid. If payment is late, send a reminder quickly.

6

Receive the payout

When the customer pays, the service handles VAT, deducts the service fee and tax withholding, and pays the remaining amount to you.

Invoice content

What information must a freelancer invoice include?

A good invoice is clear and specific enough. The easier it is for the customer to recognize the invoice, the faster it usually gets paid.
Invoicer name and contact details
Customer name, address, and possible Business ID
Invoice number and invoice date
Work description, such as "website design"
Invoice amount and VAT treatment
Payment term, due date, and late-payment interest
Reference number or other payment identifier
Possible expenses, allowances, or travel reimbursements

The invoicing service fills in many technical details for you. Your most important task is to describe the work and agreed price clearly.

Pricing

How much can a freelancer charge?

A freelancer's hourly rate depends on industry, experience, complexity, and whether the customer is a company or consumer. These are indicative ranges in Finland.
FieldTypical hourly rate
IT and software development60-120 €/h
Graphic design40-80 €/h
Copywriting and translation30-60 €/h
Photography50-100 €/h
Training and consulting60-150 €/h
Marketing and social media40-90 €/h
Remember that the invoice price is not the same as salary. It must cover taxes, service fee, holidays, sick days, sales time, tools, and possible YEL.

Example

Concrete example: IT freelancer Teppo

Teppo does IT consulting on the side. He invoices 20 hours per month at 80 €/h. The net amount is 1,600 €, and Finnish general VAT 25.5% is added to the invoice.
ItemAmount
Invoice to customer, incl. VAT 25.5%2,008 €
VAT passed onward-408 €
Net invoice amount1,600 €
Service fee 4.9%-78 €
Tax withholding, e.g. 28%-426 €
To Teppo's account~1,096 €

The example is indicative. The actual payout depends on your tax card, service pricing, add-ons, and whether YEL applies to your activity.

Business ID

Can a freelancer invoice without a Business ID?

Yes. A freelancer can invoice without their own Business ID by using an invoicing service. In that case the service acts as the invoicer and you receive a payout for the work.
Invoicing without a Business ID is especially suitable when you want to try freelancing, do occasional assignments, or already have paid employment and invoice on the side.
You do not need your own company or accounting.
Tax withholding is based on your tax card.
VAT treatment is handled through the invoicing service.
YEL remains your responsibility if the conditions are met.

International

Can a freelancer invoice foreign customers?

Yes. Freelancers can invoice foreign customers too, but VAT treatment depends on the customer's country, business status, and service type.

EU company

You usually need the customer's VAT number. The invoice may use reverse charge, in which case the invoice must show the correct VAT note.

Customer outside the EU

VAT treatment is assessed case by case. The invoicing service helps choose the correct marking before sending the invoice.

If the customer is abroad, agree the currency, payment method, and possible bank charges in advance.

Avoid these

Common freelancer invoicing mistakes

The work, price, and schedule are not agreed in writing.
The payment term is too long, hurting cash flow.
Unpaid invoices are not reminded quickly enough.
YEL obligation is forgotten even though the activity is continuous and income exceeds the limit.
The work is priced too cheaply because taxes, holidays, and sales time are ignored.

A good practice is to agree terms in writing before starting and send the invoice as soon as the work or milestone is approved.
